Search in Work Orders, Event Feed in Clients, and Other Enhancements

On the heels of the release of the new Work Order dialogue, we are excited to present its latest improvements, based on your feedback. In addition to these, there are other new features that users have been eagerly anticipating. So today, we want to share with you that now:

  • You can customize the search and sorting of items in an order even more flexibly.
  • Assembling items for work orders and sales has become simpler with new variables in document templates.
  • Clients now have an Event Feed.
  • You can deactivate an employee before deleting them from the account.

Let's delve into the details step by step.

Search Settings in Work Orders

Initially, in the search settings, there was an option to pin the list of tasks, services, and goods, as well as narrow the search down to only tasks and services or only goods. Taking your feedback into account, we expanded the search settings, leading to interface changes. Now, in the expanded search, you can click the settings button to:

  • Search for items in all locations – by default, RemOnline searches for items in the warehouses of the current location and company's global warehouses. However, by enabling this setting, the search will occur across all locations.
  • Pin the list of tasks, services, and goods to keep it open after adding items.
  • Adjust sound playback when adding an item to the order table – if the sound is bothersome, simply uncheck the checkbox.

Additionally, soon you will have the option to configure adding items without writing them off from inventory, and we will provide more details on this shortly.

Sorting Items in the Order of Addition

The ability to sort items in the order they were added to a work order has returned. Click on the header of the leftmost column of the table to sort items in the order of addition. The table maintains the grouping of items by performers.

When sorting by name, services will be displayed first, followed by labors, and then products for each performer. Sorting by price, quantity, and total is straightforward – from the smallest to the largest and vice versa.

Variables with Bin Location and Warehouse of Poduct

If you initially write off products to a work order or sale and then go to the warehouse to collect them, it is now much easier. Document templates for orders and sales have two new variables:

  • {Product Bin Location} – displays the bin number from which the product was written off to the work order or sale.
  • {Product Warehouse} – displays the warehouse from which the product waswritten off to the work or sale.

These variables are useful for creating a separate document template for employees to precisely locate the required product on the warehouse shelves. Note that using these variables affects the grouping of products in the document template.

  • If the same product was deducted in any quantity from one warehouse and one bin, the document will have one line for that product.
  • If the same product was deducted from different bins, the document will group the product by bins with the corresponding quantity written off.
  • If the same product was deducted from different warehouses (applies only to work orders), the printed document will have additional grouping of products by warehouses.

This way, you can immediately see in the list how much product you need to take from each warehouse and each bin.

Event Feed in the Client Dialogue

We know how much RemOnline users appreciate the Event Feed, so we are expanding its usability. We are delighted to announce that it is now available in the client dialogue!

This means you can now:

  • Attach photos and files directly related to the customer, not associated with orders, leads, or tasks (e.g., customer documents).
  • Leave comments for yourself and colleagues.
  • Create tasks in the same way as in work orders, leads, and tasks.
  • Track changes in discounts set for the customer – a completely new event that shows who and when changed the discount settings for the customer, what the discount was, and what it became.

Additionally, we have improved working with attached files in the Event Feed. Now, clicking on an attached file does not automatically download it; instead, it opens in the gallery. Hovering over the file will display its name. As the Event Feed is a shared component of the system, these changes apply to work orders, leads, and tasks.

Note that the customer dialogue no longer has the "Tasks" tab, so creating a new task related to the customer can only be done through the Event Feed. In such a task, you will have a link to the customer.

Also, please note that discount changes can be tracked not only in the customer dialogue but also in the Activity Log.

Deactivating Employees

Often, terminating an employee in the company does not equate to removing them from the RemOnline account. Time is needed to reassign work orders and tasks among other employees, calculate and pay salaries, and so on. However, termination always means no access to data. Now you have the option to deactivate employees before removing them from the account.

A deactivated employee cannot log into the account but will still appear in the lists of employees in reports. Note that a deactivated employee affects your subscription plan until you delete them.

Additionally, if needed, a deactivated employee account can be reactivated. Only those with the permissions to edit employees can deactivate and reactivate employees.

Plans for Upcoming Updates

And now, we want to share what will be coming to RemOnline in the near future.

Adding Items to Work Orders Without Writing Them Off From Inventory. This feature, in itself, is already valuable, especially for online retailers, where the item list and required quantity are initially created, and then the order is assembled. Additionally, this is a significant step towards the introduction of preliminary estimates as a separate document. This allows you to first agree on the cost with the customer before proceeding to work directly with the order.

Editing Restrictions for Closed Work Orders. If a work order is moved to a closed status, you won't be able to make any changes to the table of labors, services, and products, or process payments. However, you can still use the event feed and edit general information. If you need to change the price, quantity, discount on an item, or process a payment, the work order will need to be moved back to an open status. In the future, this will allow us to improve financial reporting and system stability.
